How it works
A move built around the participant, not the paperwork.
Most NDIS moves we do look the same as any other residential move — just with a bit more notice, a bit more communication, and an invoice that goes straight to a plan manager instead of a private client. Here is how the day is structured.
01
Written quote
Three questions on the form or a phone call with Thales Yan. Back to you within the hour with the hourly rate and estimated hours in writing — in a format your plan manager or support coordinator can approve.
02
Pre-move briefing
A short call a few days out to walk through anything specific about the day: quiet approach, particular items to go first, assistive equipment, the main contact person. The more we know up front, the smoother the day runs.
03
Move day + invoice
Uniformed crew, calm pace, protected furniture, on-time arrival. After the move, the invoice goes to your plan manager (plan-managed) or to you (self-managed). No upfront payment, no chasing reimbursement.
What’s included
Same careful move. Invoicing that works with your plan.
Everything on the right is part of the hourly rate. Nothing extra for NDIS participants. Nothing hidden.
- Plan-managed and self-managed invoicing — we send the invoice to your plan manager or to you directly
- No NDIS premium — same hourly rates as every other move, from $150/hr + GST
- Calm, unhurried pace on move day — clear communication, no background music, no shouting
- Step-by-step walkthrough of the plan before we lift the first box
- Extra care around assistive equipment (mobility aids, powered wheelchairs, hospital beds) when you brief us on specifics ahead of time
- Uniformed, background-checked removalists — every mover
- Public liability insurance ($20 million cover) and goods-in-transit insurance on every job
- Full packing service available if unpacking the old place is part of what needs to happen
In practice
What an NDIS move actually looks like.
Three recent-style scenarios, drawn from how we’ve quoted NDIS jobs across Sydney. Names and addresses changed, the maths is real.
Scenario 1 · Plan-managed
Walk-up 1-bed → ground-floor accessible 2-bed
Participant moving from a Newtown second-floor walk-up into a Liveable Housing Australia ground-floor 2-bed in Marrickville. Mobility-aid user, plan-managed. Two movers, 4 hours, $600 + GST. Quiet briefing on arrival, slow stair work on the load-out, plan-manager invoiced direct.
Booking lead time: 18 days from quote to move day, all of it spent in plan-manager approval.
Scenario 2 · Self-managed
Family home → parent’s accessible flat
Self-managed participant downsizing from a 3-bed Chatswood family home into a parent’s ground-floor 2-bed unit in Lane Cove. Three movers + standard truck (extra hands needed for furniture sorting on the day), 7 hours, $1,470 + GST. Invoice issued to the participant, paid from plan funds, receipt submitted via myplace.
Booking lead time: 11 days from quote to move day.
Scenario 3 · Plan-managed + assistive equipment
Cross-Sydney move with powered wheelchair and hospital bed
Participant moving from a Bondi 2-bed apartment to a Parramatta accessible 2-bed. Powered wheelchair, hospital bed, hoist, communication device. Three movers + big truck, 8 hours including the cross-Sydney run, $1,920 + GST. Equipment blanket-wrapped, strapped, loaded last and unloaded first. Specialist re-installation handled by the participant’s assistive-tech provider on day two.
Booking lead time: 23 days, set by the assistive-tech provider’s schedule, not ours.
Across Sydney
NDIS moves we run across the city.
Same hourly rates apply Sydney-wide. The accessible-stock concentration shifts by region — the Inner West and Lower North Shore have more ground-floor unit conversions, the Eastern Suburbs have more lift-equipped buildings, Western Sydney has more recent-build accessible apartments. Our suburb pages cover the access detail by area.
See the full Sydney suburb directory — every page lists the typical move size, hourly range, access notes and a suburb-specific FAQ.
Straight on registration
We are not a registered NDIS provider.
Hartmann Removals is not currently registered with the NDIA. What that means in practice: we can work with participants who are plan-managed or self-managed, which together cover the majority of NDIS plans in Australia.
If your plan is NDIA-managed, you will need a registered provider — we cannot invoice the NDIA directly. We are still happy to provide a written quote for your records, and your support coordinator can use it as a comparison when sourcing a registered option.
Not sure which category your plan falls under? Your plan manager or support coordinator will know — and if you are not sure who that is, the ndis.gov.au participant portal shows it on your plan summary.

NDIS FAQ
Questions about NDIS removals in Sydney.
Are you a registered NDIS provider?
No — we are not currently a registered NDIS provider. We work with NDIS participants who are self-managed or plan-managed, which together cover the majority of NDIS plans. If your plan is NDIA-managed, you will need a registered provider; we can still give you a written quote for your records.
Can NDIS funding cover a removalist?
In many plans, yes — relocation costs can sit under Core Supports or specific Capacity Building line items, depending on how the plan is written. It is always worth checking with your plan manager or support coordinator first. We are happy to provide a detailed written quote ahead of time so your plan manager can confirm eligibility before the move.
How does invoicing work for plan-managed participants?
Easy. When you book, share your plan manager’s name and email. We invoice them directly after the move using their preferred format. You do not need to pay upfront or chase reimbursement.
How does it work if I am self-managed?
We invoice you the same way we invoice any private client. You pay the invoice from your plan funds and submit the receipt to the NDIA through your myplace portal.
How much does an NDIS move cost?
Exactly the same as any other move with us — from $150/hr + GST for two movers and a truck, 3-hour minimum, call-out included in the first hour. We do not charge an “NDIS premium” or any separate booking fee. The hourly rate and estimated hours are confirmed in writing before you book.
Can you accommodate specific needs on move day?
Yes — tell us ahead of time and we will build the day around it. Quiet approach, minimal cross-talk, a briefing before we start, extra time with specific items, a particular person as the main point of contact. The more we know in advance the better the move runs.
What about mobility aids and assistive technology?
We move them the same way we move any high-value, sensitive item — blanket-wrapped, strapped, and handled with extra care. For powered wheelchairs, hospital beds, hoists and communication devices, we recommend letting us know during the quote so we can plan the right crew size and truck space. We do not reinstall or recalibrate assistive technology — that usually needs a specialist, which we can coordinate with if useful.
Do you work with support coordinators?
Yes. If you have a support coordinator, they are welcome to book the move on your behalf, join the quote conversation, or act as the main contact on the day. We keep them in the loop on the written quote and the invoice either way.
How far ahead should I book?
Two to three weeks is ideal for most moves, three to four weeks in the October–February peak. That said, we do take short-notice bookings when we have availability — call us even if the date is close.
Do you move between suburbs or only within one?
All over Sydney metro. Same rates regardless of direction. Whether you are moving from Bondi to Parramatta, Mosman to the Inner West, or just across the street, the hourly rate and inclusions are identical.
Do you handle SDA (Specialist Disability Accommodation) moves?
Yes — moving in to or out of SDA housing is a normal removal job for us, with the usual NDIS plan-managed or self-managed invoicing on top. We are not an SDA provider ourselves and we do not handle SDA tenancy paperwork. What we do is the physical move: blanket-wrapping, careful loading, coordination with the SDA building manager on parking and lift access, and an invoice in the format your plan manager needs.
How long should I budget from quote to move day for an NDIS move?
Two to three weeks is comfortable for most NDIS moves — long enough for the written quote to flow through your plan manager or support coordinator for sign-off, and for us to lock the date with the right crew size. Three to four weeks is better in the October–February peak. We can often accept short-notice bookings (under a week) if the crew is available; the plan-manager approval cycle is usually the bottleneck, not us.
Moving day, done calmly.
